Summary

The Computerized Maintenance Management System (CMMS) and Procurement Coordinator is responsible for ensuring the effective utilization of the Facilities Management CMMS as well as effective and efficient Procurement of materials, services and contracts for the Facilities Management department. The CMMS responsibility encompasses; but is not limited to, hardware and software management, staff training, asset inventory management, and reporting. The Procurement responsibility encompasses; but is not limited to, handling and executing Facilities Management purchasing and invoice processes, tracking and initiating contract renewals in conjunction with Contracting. This position also answers the department telephone, assists callers, assigns work orders, dispatches technicians, assists contractors and other duties as needed.

Job Duties

  • Ensures Preventive Maintenance is assigned to required assets and regulatory requirements. Assigns PMs to Technicians/Supervisors and monitors PM completions, reporting results to Department Leadership.
  • Answers the department telephone, assists callers, assigns work orders, dispatches technicians, assists contractors and others
  • Processes invoices in the AP System and credit card documentation
  • Purchases materials and services, coordinates timely service contract renewals
  • Handles hardware and software needs. Provides training on the utilization of the CMMS and works with colleagues to ensure effective operations
  • Maintains and updates the asset inventory as new equipment is received, old equipment is discarded and any other required changes. Prepares KPI's based on data generated by CMMS

Minimum Qualifications
  • High School Diploma/GED ; Demonstrated knowledge of computer programs and systems
  • 1 year computer program, accounts payable, or related experience

Preferred Qualifications
  • Associate’s Degree
  • Computerized Maintenance Management System experience

Physical Demands

Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to perform activities specific to their role including kneeling, bending, squatting and performing CPR.
